THE PURCHASING QUESTION
The reality
The sample you handle is one item at one stage. It can demonstrate the finish, feel or packaging you approve, but it does not automatically establish that every production unit matches it.
Approval also becomes ambiguous when the tool, sleeve artwork or case layout changes later. Keep the reference sample and the written specification connected. A shipment inspection needs its own scope: which characteristics, how many items, which acceptance criteria and what happens if findings do not meet the agreement. Acceptance sampling supports a lot decision from selected items; it is not a statement that every unit was examined.

| Confirm | What to record or distinguish |
|---|---|
| Reference | Identify the sample and the product specification it represents. |
| Revision & date | Record the approved revision and sign-off date; retain supporting photos or measurements. |
| Approval scope | Name the features accepted, what remains provisional and any packaging revision. |
| Shipment checks | Agree characteristics, sample selection, acceptance criteria and the response to a discrepancy. Sample approval does not mean every production unit was examined. |
BEFORE YOU ORDER
Three checks before ordering.
Identify the approved sample and revision, date the sign-off, and retain supporting photos or measurements. Record any features that remain provisional or require separate evidence.
Agree critical dimensions, appearance limits, functional checks and packaging details in writing. Define the sampling plan and defect criteria rather than relying on “standard QC.”
Specify who reports findings, when you review them, and the response to nonconformities. Confirm any independent laboratory tests separately from the on-site inspection.
PUTTING IT INTO PRACTICE
What HEHE coordinates.
HEHE connects sample approval to an Order & Specification Confirmation Record. The record separates supplier information, agreed physical checks and optional third-party testing. Findings are documented for review before shipment. Its value is a traceable agreement, not a blanket promise that sampling removes every production risk.
